In Event Experiences at Wisely Wine and Food Day

The Mackay Festivals team is calling for expressions of interest from Mackay region-based event organisers seeking to host an experience at Wisely Wine and Food Day. The team is looking for events that are outside the norm and showcase a unique offering to our community. This could look like paint and sips, distillers lunches, VIP areas, Kids pop up entertainment, cooking demonstrations, wine pairing and more!

Each application will be reviewed in relation to the Selection Criteria provided below. The Mackay Festivals team will determine the allocated space and location of each successful event to ensure that it compliments the overall event experience and safety for our community.

There will be limited space available so submit your expression of interest now and showcase your unique experience to the Mackay community. All submissions will be reviewed and outcomes advised by February 1, 2024.

Timeline of dates

Please review the below timeline of deadlines that will be implemented should your application be successful.

  • December 20, 2023 - Applications Open
  • January 29, 2024 - Applications Close
  • February 1, 2024 - Application reviewed and applicants advised
  • February 7, 2024 - Contracts reviewed and executed
  • February 7, 2024 - Final marketing copy, images and logos provided
  • February 13, 2024 - Monthly Meeting with Mackay Festivals Team
  • February 16, 2024 - Marketing collateral designed and approved for print program and website
  • February 28, 2024 - Site fees due
  • February 29, 2024 - Final marketing and communications plan provided
  • March 12, 2024 - Monthly Meeting with Mackay Festivals Team
  • March 30, 2024 - Event site location confirmed
  • April 16, 2024 - Monthly Meeting with Mackay Festivals Team
  • April 20, 2024 - Mackay Festival teams provided all marketing assets and approved designs for promotion post launch
  • May 3, 2024 - Program launches, marketing of experience begins
  • May 14, 2024 - Monthly Meeting with Mackay Festivals Team
  • May 27, 2024 - All finalised event permits and documentation to be sent to Mackay Festivals Team (Event Management Plan, Risk Assessment Plan, Waste Management Plan and Public Liability Insurance)
  • June 7, 2024 - Finalised Infrastructure and Equipment Register to be provided
  • June TBC - Pre-Event Stakeholder Briefing
  • July 18-19, 2024 - Event Bump in
  • July 20, 2024 - Event
  • July 20 – 22, 2024 - Event Bump out
  • August TBC - Stakeholder De-brief

1. Selection Criteria:

  • Prior event experience is taken into consideration. If you held other events, please share these examples in your application (10%)
  • Relevance and suitability to the event – as per event requirements and schedule (40%)
  • Benefit to and/or interactivity with the community at the event (15%)
  • Event plans will be reviewed against the current risk assessments and emergency procedure manuals for the event (20%)
  • Quality of product or offering, affordability, budget, value for money based on the documentation provided (15%)

2. Special Conditions:

  • Applications are only available for Wisely Wine and Food Day 2024 under a 1 event term agreement.
  • Locally based business or individual
  • Alcohol/Bar rights within ticketed areas are not available
  • Expressions of interest do not guarantee the success of your application
  • Pop up picnic experiences will be offered through market stall applications opening in 2024

3. Requirements for Successful Applicants:

3.1 Site Fees

Site fees are applicable for event experience activations. All site fees will be charged at 10% of the gross revenue. A weekly digital ticketing report from the launch of the sale of the event will need to be provided to the Mackay Festivals team. A final settlement of all revenue must be provided to the Mackay Festivals team within 7 days post event.

3.2 What is included in my site fee?

  • Site size as per clarified on contract
  • Cardboard skips and rubbish disposal units/facilities (short walk from site) Private Toilet facilities (short walk from site)?
  • Access to limited onsite power*
  • Inclusion of event within the MFOA program for 2024
  • Marketing of the event under the Wisely Wine and Food Day Campaign

3.3 What is not included in my site fee?

  • Marquee/weights, infrastructure or equipment
  • Staff or stock
  • Rubbish collection from your site - this must be taken to the skips provided
  • Car Parking
  • Security
  • Water supply and hand washing facilities
  • Individual site lighting
  • Fencing or barriers (should you require if a ticketed area)
  • Any items required in the operation and delivery of your submitted experience other that what is listed at Point 3.2

3.4 Marketing Requirements:

The Mackay Festival of Arts program will be designed in align with the newly introduced design competition for 2024. Successful applicants will be required to submit the following elements to be designed as a part of the Wisely Wine and Food Day event spread:

Website placement will also be provided on themecc.com.au/mackay-festivals page and can showcase any additional logos if required.

Additional images may be requested to assist with social media promotion, website design and other marketing activations.

3.5 Presentation, Products and Price

Mackay Festivals expects that all sites and staff are presented in a tidy, professional manner with clear signage indicating the cost of products. Whilst management does not set prices, there is an expectation applicants will strive to provide value for money to all event patrons with a focus on local suppliers. Mackay Festivals reserves the right to request exhibitors refrain from including certain items to be sold at the event that conflict with other experiences, stakeholders or legislative requirements.

3.6 Bonds

Bonds may be required for your site. If you are required to pay a refundable bond you will be notified of this upon notification of acceptance for the event/s. This bond is refundable post event, provided you have left your site in a presentable manner and no damage was caused.

3.7 Content

Wisely Wine and Food Day is a family-friendly and as a result, all programmed content needs to be suitable for all persons onsite. All music, lyrics and content is required to be appropriate for a family-friendly audience at all times.

3.8 Photography and Videography Consent

If successful, when signing your contract you acknowledge that by being part of this Mackay Festival event, your event experience including those working within the event consent to having photographs or video taken by the official event media contractor/s organised by Mackay Festivals. This official event media contractor/s will have full access to the event including your event experience. The images and videos taken may be used for promotional purposes for Wisely Wine and Food Day and other future events.

3.9 Smoke Free Events

All events are smoke-free, this includes staff and volunteers involved in the event. Smoking and vaping is only permitted outside the perimeter of the event and is not permitted in back-of house areas.

3.10 Public Liability Insurance

You must provide a Certificate of Currency from your insurance company providing a minimum cover of $20 million and it must state the policy is ‘Australia Wide’.

3.11 Compliance paperwork

You must also provide the below compliance paperwork (as applicable):

  • Job safety analysis (JSA) and/or Safe work method statement (SWMS)
  • Risk assessment

You must providelegislative paperwork, permits or licenses required to undertake the services or functions you are providing at the event if applicable.

3.12 Test and Tag

As per AS/NZS3002:2021 all electrical equipment which is brought onto the site must be tested and tagged. If you have equipment which does not have a valid test and tag, you will not be permitted to use that equipment.

3.13 Food Safety Requirements

Any service or sale of food will require permits to be submitted to Mackay Regional Council. An Environmental Health Officer will be onsite checking all health regulations, including waste management and recycling procedures are being adhered to.

3.14 Water

There is no commercial water supply for this event. All necessary water must be brought to the event and taken from the event, this includes a hand wash basin with sanitiser separate to any food preparation area and other requirements of temporary food stalls.

A hydration station for drink bottle refills will be available.

Wastewater must be disposed of in appropriate waste water pods at the event site. Please ensure you follow all directions to appropriately dispose of waste water.

3.15 Fire Safety

Organisers are required to have a mounted fire extinguisher (please ensure size and type is suitable) and blanket (1.8m x 1.2m commercial model) at the event. Please ensure that this equipment is compliant.
